University departments authorizing moving expenses for newly hired faculty and staff are required to use one of the six contracted moving vendors listed below. These contracts are the result of a competitive solicitation by the OSU Purchasing Department. Departments shall contact one of the vendors to make arrangements for a binding estimate for the move. The Purchasing Department strongly encourages departments to obtain estimates from up to three vendors. This will ensure the University receives the best price.

Once a moving vendor has been selected, the department will attach copies of the estimate(s) to a requisition and forward to the Purchasing Department on their campus. A purchase order will then be issued. Should the lowest estimate not be selected, a justification must accompany the requisition. The invoice received after the move shall be approved by the transferee and department and sent to Accounts Payable with the receiving report for payment.

Using a contract vendor provides for binding estimates, local coordination and service, and more efficient processing of claims.

These contracts are also available to the A&M campuses, all University retirees, and for on-campus department moves.
